Reporting that stops at the appointmentSEO reporting and appointment tracking for audiologists
Sessions are not the product. Booked, kept appointments are.
The problem
The standard agency report is a screenshot of traffic going up. It is the one number a practice owner can do nothing with, and it is the number most reports lead with.
Start at the far end and work backwards
The question a practice owner actually has is whether to hire another audiologist, open on Fridays, or stop spending. None of those decisions can be made from a sessions chart. They can be made from booked, kept, first-time appointments split by channel and by service line, which is where our reporting starts and where most reporting never arrives.
Call tracking that survives an older caller
This audience calls, so most of the signal is in the phone system, and most practices have never counted it. We track every line, review recordings, and separate a booked appointment from a wrong number, a supplier, an existing patient rescheduling, and the twenty-minute price question that ended politely.
The first month of this is routinely uncomfortable. Missed calls at lunch, calls ringing out during the Thursday rush, and a booked-call rate materially different from what everyone assumed are all normal findings, and all cheaper to fix than any ranking.
Reconciliation, monthly
Tracking says an appointment was booked. The practice management system says whether it happened. Those two numbers diverge, and the gap — no-shows, cancellations, the patient who booked and never came — is real information about which channels bring people who actually turn up.
So every month the two get compared, at whatever level of aggregation the practice is comfortable sharing. We do not need names and we do not want them.
One page, with the judgement written out
The front of the report is a page of prose that says what happened, what it means and what we are doing about it. The detail sits underneath for anyone who wants it. A report that requires interpretation has moved the work back onto the client, which is precisely backwards.
What is deliberately not on the front page
Sessions, impressions, keyword counts and domain authority scores. All available on request and none of them leading, because none of them answers a question an owner is actually asking.
Questions about this piece
Do you need access to our patient records?
No. We work from an aggregate export — counts by appointment type and channel, no names, no clinical detail. If your system cannot produce that easily, we will help you get it, and it stays aggregate.
Is call recording legal?
It depends on your state and it is your practice's decision as the party being called. We will explain what the system can do and configure whatever notification you are advised to use. We do not enable recording without written instruction.
Can we see the raw data?
Yes, always, in accounts you own. The report is a summary of your data, not a substitute for it.
This one rarely works alone.
The audit decides which pieces you actually need and in what order. You keep it whether or not you continue.
